How Do I Write an Email to My Teacher?

Email is a normal way to contact teachers here. Short, specific and polite is all you need โ€” and these templates cover almost every situation.

Why it matters

Teachers expect email. They don't expect perfection. A short message with a clear question gets answered; a long apologetic one often doesn't.

Use your school email account if you have one โ€” messages from personal accounts sometimes land in spam.

The anatomy of a good email

  • Subject line โ€” the single most important part. Include the class and topic.
  • Greeting โ€” "Dear Mr./Ms./Dr. [Last name]," (use Mr./Ms. until told otherwise)
  • Context โ€” one sentence: which class, which assignment.
  • Question โ€” one clear question.
  • Close โ€” "Thank you," + "Best," + your full name.

Templates

1. Question about homework

  • Subject: Question about Homework 3 โ€” Lin Chen, Period 4
  • Dear Ms. Rivera, I'm working on Homework 3 and I'm not sure about question 5. Should I show my work, or just the final answer? Thank you, Lin Chen

2. Absence

  • Subject: Absence Friday โ€” Lin Chen, Period 4
  • Dear Mr. Osei, I was absent on Friday due to illness. Could you tell me what I missed and whether there's a make-up deadline? Thank you, Lin Chen

3. Requesting an extension

  • Subject: Extension request โ€” Essay 2, Lin Chen
  • Dear Ms. Rivera, I have two tests this week and I'm behind on Essay 2. Would it be possible to submit on Monday instead of Friday? I understand if not. Thank you, Lin Chen

4. Thank you

  • Subject: Thank you โ€” Lin Chen
  • Dear Mr. Osei, Thank you for staying after class on Tuesday to explain the lab. It helped a lot. Best, Lin Chen

Common mistakes

  • No subject line. Easy to lose, easy to ignore.
  • Apologising four times. One "sorry for the late email" is plenty.
  • Emailing at 11 p.m. and expecting a reply. Send it; don't expect an answer until school hours.
  • Using a nickname or casual greeting. "Hey" is too informal for most teachers at first.
Verge Lab Tip

Write the subject line as if your teacher gets 80 emails a day โ€” because they do. 'Question + class + your name' gets opened first.

FAQ

How quickly will a teacher reply?
Usually within one or two school days. Don't expect replies at night or on weekends.
What if I don't know the teacher's title?
Mr. or Ms. plus last name is safe. If you're unsure, 'Dear Professor [Last name]' or just their full name also works.
Is it OK to email about a grade?
Yes, but be specific and polite. Ask what was missing rather than asking for points.
Should I email my parents' message or my own?
Your own. Teachers expect students to contact them directly โ€” it's part of learning the system.
